Who is responsible

Fieldnote Search is run by Charlie Broddle, a UK sole trader. Charlie decides how and why the information described here is used. Charlie also runs farmseasons.co.uk and offmains.uk.

What Fieldnote Search does

Fieldnote Search reviews how UK businesses appear in Google search and offers a paid Local Search Review. It markets only to limited companies and LLPs.

If we contacted your business

How we found you. We look at public search results for a type of business in an area. If your company appeared to have room to improve, we checked that it is an active limited company or LLP on Companies House and found a contact address on your own website.

What we hold.

We write to the company, not a person. We don't collect directors' names, phone numbers or social media profiles for this. If the only address on your site is a named one, that address is personal data and is treated as such.

Why, and on what basis. To offer a relevant business service. Our lawful basis is legitimate interests (UK GDPR Article 6(1)(f)). We have written a legitimate interests assessment and will send you a copy on request. Emailing a limited company or LLP without prior consent is permitted under the Privacy and Electronic Communications Regulations, as long as we say who we are and you can opt out.

Your right to object.
You can object at any time to your information being used for marketing. Reply "no thanks", or contact us any other way. We'll stop within one working day and won't market to your business again from Fieldnote Search, farmseasons.co.uk or offmains.uk.

To make that stick, we keep a short record: company name and number, website, email address, date and reason. We keep nothing else about you, apart from an accounting line showing we bought search data for your website, and a complaint record if you complained. Opting out is free and needs no explanation.

We don't track whether you open our emails, buy contact lists, or send bulk email.

Other businesses named in our reviews

Reviews and emails may name other local businesses that appear in public Google results, with their public rating and review count. We use only public business listings and search data, never contact details. Where a competitor appears to be a sole trader, we refer to it without its name (e.g. "Competitor A").

We use what you send to reply. Please don't send sensitive personal information. Lawful basis: legitimate interests.

This website

The site is hosted on Cloudflare. Cloudflare processes technical request data (such as IP addresses) to deliver and protect the site. We use Cloudflare Web Analytics, which loads a small script from Cloudflare (static.cloudflareinsights.com). It does not use cookies or local storage and gives us only aggregated visit counts. There are no advertising or tracking cookies and no contact forms. Lawful basis: legitimate interests in running, securing and understanding overall use of the site.

Where a provider processes data outside the UK, the transfer relies on UK adequacy regulations (including the UK–US data bridge where the provider is certified) or the ICO's International Data Transfer Agreement or Addendum. Ask us for details or a copy.

How long we keep it

Our operating policy:

Project files are kept in iCloud Drive; deleted files stay in iCloud's "Recently Deleted" for up to 30 days and are then removed. We review what we hold at least every 6 months.

Your rights

You can ask for a copy of your information, ask us to correct or delete it, restrict its use, or object to it being used. Client data processed for a contract can also be provided in a portable format. Objecting to direct marketing always succeeds. Requests are free. We reply without undue delay and within one month. We may extend this by up to two months for complex requests, and we'll tell you why.

Complaints

Any message telling us you're unhappy with how we've used your information is treated as a complaint, whatever its wording or route. Putting "Complaint" in the subject line just helps us spot it. We acknowledge complaints within 5 working days (always within the legal limit of 30 days), look into them, keep you informed and tell you the outcome.

Changes

This notice covers the outreach, reviews and website described above. Any new activity (for example marketing phone calls or a contact form) will be assessed and added here before it starts.
